Bank Accounts
Bank Accounts Overview
You can filter records in two ways:
- Search by name, bank
- Using Filters
Search by name, bank:
1. Go to Search by name, bank box at the top of the bank accounts list.
2. In the Search by name, bank box, type the bank account you are searching for. The list will load the moment you stop typing.
Using Filters:
1. Click Filters beside the Search by name, bank box.
2. The records can be filtered by the bank account’s Status (Enabled, Disabled, All).
Export Bank Accounts to PDF and Excel:
- In the Bank Accounts Overview, click Export.
- There are three Export options: Export to PDF, Export to Excel, and Export to Excel (Detailed). Click your desired format.
- Upon clicking your desired format, the file will be automatically downloaded to your computer.
Create a Bank Account:
1. In the Bank Accounts Overview, click New Bank Account.
2. In the New Bank Account dialog, enter the new bank account’s Name, Bank and Account Number. You may also enter the bank account’s Description.
3. Once you are done, click Save to save the new bank account or Cancel to terminate the form.
4. A successful message will appear at the top-right corner.
Edit a Bank Account:
1. Click the Bank Account you want to edit.
2. Click Edit.
3. Enter the new details and then click Save located at the bottom. A message will appear if the bank account is updated successfully.
Create Bank Adjustment and Transfers
This process is done to replicate the out of system transactions with your bank account such as but not limited to withdrawals, deposits, and debiting and crediting charges and taxes.
Create a Manual Bank Adjustment:
1. Click the Bank Account you want to create an adjustment with.
2. Click Transfers and Adjustments tab.
3. Click New Bank Adjustment found in inside the tab.
4. On default, the form’s adjustment type is set on to Adjustment and is date adjusted is set today, but date adjusted can be altered depending on when was the posting date of your adjustment.
5. Supply all the required fields: Adjustment Type, Flow (Add, deduct), Amount.
6. Click Save to save the transaction or Cancel to terminate the form. When you click Save the transaction will be saved and the adjustment record will be seen in the tab and the amount will reflect on the Bank Reconciliation report.
Create Bank Transfers
This process is done to replicate the bank to bank transfers done by the company in the real world.
Create a Bank Transfer:
- Go to the New Bank Adjustment form and Select Transfer as type.
- Fill up the required fields such as the bank to Transfer To and Adjustment Type along with the Amount to transfer. Then, click Save.
3. Once the form is saved, the record will be seen in the tab and the transfer amount will reflect on both banks. Negative amount will be debited from the source bank and a positive amount will be credited to the destination bank.
Add Comments to a Bank Account:
The Zayls Team allows you to leave important messages to keep everyone informed.
1. In the Bank Account record, click the Comments tab.
2. Enter your message in the Comment box.
3. You may also add attachments such as photos or files. Click Add attachment below the Comment box. A Dialog box asking the location of the file will appear. Click the file you want to upload and then click Open.
4. Once finished, click Post. A successful message will appear, and the new message will display on top of the conversation.
Edit or Delete a Comment:
1. Find the comment you want to edit or delete.
2. Click .
3. To update the comment, click Edit. To delete the comment, Click Delete.
Enable a Bank Account:
1. In the existing Bank Account, click More.
2. Click Enable.
3. A successful message will appear. The Disabled Status beside the bank account name will change to Enabled.
Disable a Bank Account:
1. In the existing Bank Account, click More.
2. Click Disable.
3. A successful message will appear. The Enabled Status beside the bank account name will change to Disabled.
View a Bank Account’s Activity Log:
1. In the existing Bank Account, click More.
2. Click View Activity Log.
3. The system will redirect you to the bank account’s Activity Log record.
The Activity Log will show the admin:
- The Date & Time the activity occurred;
- The Action (Created, Updated, Deleted, Enabled, Disabled); and
- The User who made the activity.
4. To see the updated details, click View Changes. The system will redirect you to a page showing the removed and/or added details of that record.
